Schedule or Rota

The Schedule or Rota system allows you to share and easily update information about forthcoming tasks with all of your members. The online system is always up-to-date and available 24 hours a day. You may allocate jobs to members or better still, allow them to volunteer. Each member may print a duty list or job sheet giving all information required for the task, including names and contact details of other participants. Members may request and swap shifts online and only the affected parties will be notified by email, saving an avalanche of emails.

You may share limited information with the public and provide dedicated pages for each task if appropriate.

The main page displays a table with rows of tasks and columns of jobs. Each row contains the date and time and name of the task. The task column can be named e.g. Route. Under the jobs columns, which can be named by function e.g. Driver, the names of members will appear when they click on a vacant slot (question mark) and sign-up.

The Team Leaders are highlighted and your name is also highlighted as is anyone you are sponsoring e.g. partner helping out.

The Collected column is named by the schedule owner when creating a new schedule and is free-form for any purpose but any figures will be totalled.

When you hover your mouse over a member's name, you will see their full name and telephone number. These details will be printed on the job sheet.

Setup

Each Schedule has general notes and the owner may name some columns using this form. The owner may also decide to allocate jobs rather than allow members to sign-up themselves (User signup). If marked as Private, guests may not view the Schedule.

Jobs

The Schedule jobs are normally displayed along the x-axis of the spreadsheet. They include functions such as Driver or Greeter.

Notes may be added to each job e.g. "Please bank money collected, drop off slip to Treasurer and insert amount collected in the last column on this schedule". These notes will be printed on the job sheet.

Tasks

The Schedule tasks are normally displayed along the y-axis of the spreadsheet. They can be used for a variety of functions depending on the rota's purpose. For example: Collection area or Shift. Jobs may be allocated to each task. This allows for smaller shifts where less members are required e.g. 2nd line above where only 3 Snowmen are required. Notes may be attached to each task and printed on the job sheet.
